How to manually add transactions to QuickBooks online

 



1. Access the "Banking" Tab

  • In QuickBooks Online, navigate to the "Banking" tab on the left-hand side of your screen.  

2. Find the Account

  • Locate the specific bank or credit card account you want to add transactions to.

3. Add a Transaction

  • Click "New": At the top of the transaction list, click the "New" button.
  • Select Transaction Type: Choose the appropriate transaction type:
    • Check: For payments made by check.
    • Deposit: For cash or check deposits.
    • Journal Entry: For adjustments or transfers between accounts.
    • Credit Card Charge: For purchases made with a credit card.

4. Enter Transaction Details

  • Date: Enter the transaction date.
  • Payee/Customer: Enter the name of the payee (for expenses) or the customer name (for income).
  • Amount: Enter the transaction amount.
  • Category: Select the appropriate category from the dropdown menu.
    • For Expenses: Choose the relevant expense account (e.g., Rent, Utilities, Advertising).
    • For Income: Choose the appropriate income account (e.g., Sales, Service Revenue).
  • Memo (Optional): Add a brief description of the transaction.
  • Attach a Receipt (Optional): If you have a receipt, you can attach it to the transaction for easy reference.

5. Save the Transaction

  • Click "Save and Close" to record the transaction in QuickBooks Online.

  • Use the "Add Multiple" option: If you have several similar transactions, use the "Add Multiple" option to enter them quickly.
  • Create Custom Categories: Create custom categories to better organize your transactions and generate more accurate reports.
  • Reconcile Regularly: Regularly reconcile your bank accounts in QuickBooks Online to ensure accuracy and identify any discrepancies.
